- Settle Credits
-
- ÀáApply to Open InvoiceÀá
-
- All invoices for this customer are displayed. Open invoices are displayed
-
- first, followed by pending invoices and then by closed invoices.
-
-
-
- Àá ID NumberÀá
-
- The ID Number identifies this transaction within the Sales & Receivables
-
- Journal. M.Y.O.B. sorts Sales & Receivables Journal transactions by
-
- journal ID number within date. You may enter up to 8 characters, using
-
- any combination of numbers and letters. M.Y.O.B. provides a default ID
-
- number with the prefix SJ (for Sales & Receivables Journal) followed by
-
- a 6-digit number. M.Y.O.B. allows duplicate ID numbers, however it is
-
- not recommended.
-
-
-
- Àá DateÀá
-
- All transactions within the Sales & Receivables Journal are sorted by
-
- transaction date. You may not enter a date prior to the conversion date or
-
- in a prior fiscal year. If you enter a future date, M.Y.O.B. accepts it, but
-
- only after warning you that the date is probably in error.
-
-
-
- Àá Credit AmountÀá
-
- M.Y.O.B. displays the amount of the credit. You may change it to a lesser
-
- amount. You may not increase it.
-
-
-
- M.Y.O.B. allows you to type the dollar amount using numbers, commas,
-
- periods and dollar signs. Improperly formed amounts are disallowed and
-
- decimal amounts are rounded to the nearest penny.
-
-
-
- Àá MemoÀá
-
- Enter whatever you’d like. Memos can be up to 255 characters, but
-
- because of report display limitations, it is most useful to limit your
-
- memos to 40 or 50 characters.
-
-
-
- Àá Invoice NumberÀá
-
- This is the number of the previous sale to this customer.
-
-
-
- Àá StatusÀá
-
- Invoices that have a positive balance are 'open.' Invoices with a zero
-
- balance are 'closed.' Invoices placed in the pending file are 'pending.'
-
-
-
- Àá AmountÀá
-
- This is the current amount due, net of previous payments or applied
-
- credits, on the invoice.
-
-
-
- Àá DiscountÀá
-
- If the customer is entitled to an early payment discount (see Tax & Credit
-
- Terms in Chapter 7), a discount amount appears here.
-
-
-
- You may override the discount.
-
-
-
- Note: Discounts are recorded only when settling the entire balance due of
-
- an invoice. Consider a $100 balance with a $2 discount. The Total Due is
-
- $98. Apply, say, $75 to this invoice. When you record it, the $2
-
- discount is ignored. The next time you see this invoice, it will have a $25
-
- (not $23) balance.
-
-
-
- Àá Amount AppliedÀá
-
- M.Y.O.B. defaults to the Amount Due or the unapplied remainder of the
-
- Credit Amount, whichever is less. You may apply the credit amount to
-
- more than one invoice.
-
-
-
- Note: Applying a credit to an open or closed invoice does not change the
-
- customer’s receivable balance. It simply re-assigns the money from a
-
- credit invoice to a regular invoice. Applying a credit to a pending invoice
-
- does change the customer’s balance, because the money is moved from
-
- receivables to your linked deposits liability account.
-
-
-
- See Chapter 4 of your User's guide for examples of applied credits.
-
-
-
- Àá RecordÀá
-
- The transaction is recorded in the sales journal as an equal debit and
-
- credit. Since neither the customer's balance nor your receivable balance
-
- has changed these entries are made for audit trail purposes.
-
-
-
- ÀáWrite a Refund CheckÀá
-
- Verify the Check Number, Date, Amount, Payee and Memo of the check.
-
- See Write Checks in Chapter 3 for more information about these fields.
-
-
-
- You may reduce the amount of the refund, but you may not increase it
-
- above the credit amount.
-
-
-
- Àá RecordÀá
-
- The transaction is recorded in the Cash Disbursements journal. Your
-
- checking account is decreased (credited) by the amount of the check. The
-
- receivable balance for this customer is increased (debited).
